TO ALL MEMBERS OF THE COMMISSION AND THE SCIENTIFIC COMMITTEE



In accordance with the Rules of Procedure, Members are invited to attend the Second Special Meeting of the Commission (CCAMLR-SM-II) and the First Intersessional Meeting of the Scientific Committee (SC-CAMLR-IM-I) which will be held in Bremerhaven, Germany, from 11 to 16 July 2013.



The venue for these meetings is at the Conference Centre, Atlantic Hotel Sail City, Am Strom 1, 27568 Bremerhaven, Germany.



Preparatory meetings, for Heads of Delegation only, to the Scientific Committee and the Commission, will be held at dates to be advised.



Meeting-related information, including an Information Note, and an Information Brochure prepared by Germany, is available to authenticated (logged in) users on the CCAMLR-SM-II and SC-CAMLR-IM-I meeting pages of the CCAMLR website. Other information will be posted as it becomes available.



Agendas

The Commission’s Preliminary Agenda and Preliminary Annotated Agenda and the Scientific Committee’s Preliminary Agenda and Preliminary Annotated Agenda have been prepared in accordance with Rule 15 of the Commission’s Rules of Procedure and Rule 5 of the Scientific Committee’s Rules of Procedure respectively. These agendas can be found on the CCAMLR-SM-II and SC-CAMLR-IM-I meeting pages of the CCAMLR website.



Under Rule 16 of the Commission’s Rules of Procedure and Rule 6 of the Scientific Committee’s Rules of Procedure, proposals for the inclusion of supplementary items for the Provisional Agenda with accompanying explanatory memoranda, are to reach the Secretariat not later than 65 days before the meeting, that is by 11 May 2013 for the Commission meeting and by 7 May 2013 for the Scientific Committee meeting.



Observers

Invitations to attend CCAMLR-SM-II and SC-CAMLR-IM-I as Observers have been extended to Acceding States, non-Contracting Parties and international organisations in accordance with CCAMLR-XXXI, paragraphs 13.3 to 13.6 and COMM CIRC 13/16–SC CIRC 13/10.



Submission of Meeting Papers

The guidelines for the submission of papers to CCAMLR meetings (including Scientific Committee and working group meetings) are currently being revised and will be made available on the website at a later date.



Online Registration and Distribution of Meeting Papers

Online registration is now available to authenticated (logged in) users. User access is the responsibility of the CCAMLR website ‘Party’ Administrator(s). A link to the meeting registration page can be found on any of the upcoming meeting pages on the CCAMLR website (along with the agenda and documents, as they are posted).



All registrations are to be approved by the Party Administrator(s) before they can be accepted by the Secretariat. Participants are notified via a system-generated email when their registration has been approved. To assist with meeting logistics it would be appreciated if online registration could be completed, and approved, by 1 July 2013.



Documents will be available to download from the website as soon as they are posted. Participants electing to receive hard copies of meeting papers on arrival must register no later than 17 June 2013. Please refer to Item 3 of the Information Note for further details.



Meeting Schedule

A preliminary schedule for the Second Special Meeting of the Commission and the First Intersessional Meeting of the Scientific Committee, as requested by the Commission in 2011 (CCAMLR-XXX, paragraph 15.15) will be prepared and circulated. Changes may be proposed to the Chair of each meeting prior to the opening of the respective meeting when the schedule will be finalised.
